How to Onboard a Painting Customer

The color-lock deposit is the high-intent signal. Onboarding from there to install kickoff is about HOA approval, prep clarity, and weather-flexible scheduling.

The short answer: respond within an hour, generate the HOA letter if needed, confirm the color, and schedule prep + paint days inside the seasonal calendar. Paint Launch automates color-lock confirmation, portal walkthrough, and HOA approval letter generation — the rep drives the relationship through prep, paint, and walkthrough.

The 8-stage onboarding flow

  1. Color-lock confirmation (within 15 minutes). Automated email + SMS confirming the Stripe deposit and final color selection.
  2. Personal call (within 1 hour). Confirm color choice, book prep day.
  3. Customer portal walkthrough. Homeowner sees the render in their locked body + trim colors with the wall + trim measurements visible.
  4. HOA approval letter (where applicable). Paint Launch auto-generates the letter with the rendered photo + color codes. Homeowner submits from the portal.
  5. Color confirmation call (after HOA approval if needed). One final check before material order.
  6. Prep day scheduled. 1-3 days depending on prep tier.
  7. Paint day(s) scheduled. 1-3 days depending on home size. Weather-flexible booking.
  8. Final walkthrough + warranty registration + neighbor follow-up trigger.
